Introduction

This Privacy Policy explains how Roomchange collects, uses, stores and protects the personal information of the people I work with, including clients and potential clients.
In this policy, "Roomchange", "I", "me" and "my" refer to Mrs. Gudrun Reiss, trading as Roomchange [ABN: 74251872320].
I've adopted this Privacy Policy so that anyone who contacts me or uses my services can easily understand what information I collect, why I collect it, how I look after it and the rights you have over your own information.
This policy is guided by the Australian Privacy Principles set out in the Privacy Act 1988 and the Privacy Amendment (Enhancing Privacy Protection) Act 2012. These principles regulate how personal information is collected, used, stored and disclosed. I respect your right to privacy and aim to handle your information in line with these standards.

Data Collection

Understanding your space, your style and your goals is at the heart of what I do. To help you well, I need to collect some personal information from you — only what is reasonably necessary to provide my styling and redesign services.


Personal information is any information that identifies you, or could reasonably be used to identify you. For Roomchange, this may include your name, email address, phone number, and details about your home or rental property.


I collect, hold and use your personal information so that I can:
• respond to your enquiries and questions;
• arrange and deliver a discovery call, questionnaire review, or redesign;
• understand your room, your needs and your budget so I can prepare useful ideas;
• keep you updated about your project; and
• meet any legal or record-keeping obligations.


Will my information be used for marketing?
From time to time I may use your contact details to let you know about RoomChange services, tips or offers that I think you'll find useful. You can opt out of these messages at any time — just reply asking to be removed, or contact me using the details in Section 4. I will never sell your information to anyone.
What if I don't provide my information?
Sharing your information is always your choice. But please note that if you choose not to provide certain details, I may not be able to deliver a service properly — for example, without photos of your room or an idea of your budget, I won't be able to prepare a meaningful redesign or make the most of our call.

Use of Information

Depending on how you engage with Roomchange, I may collect:
Your contact details — name, email address and phone number.
Your project information — details about your room or property, your style preferences, your budget and timing, and your answers to the RoomChange Project Questionnaire.
Photos you share — images of your space that you upload or email to help me understand your room.
Website information — basic, mostly anonymous data about how you use my website, such as your browser type and the pages you visit (see Section 5 on cookies).
Information about other people
If you ever share information about someone else with me — for example, a co-owner, housemate, or a guest of your rental — you confirm that you have their permission to do so. The same care I apply to your information applies to theirs.
What form does the information take?
Information may be collected and stored digitally, on paper, or both. This policy applies to all of it, however it's held.
How I collect it
I usually collect your information directly from you — for example, when you:
• contact me by email, phone or through my website;
• book a discovery call;
• complete the Roomchange Project Questionnaire; or
• send me photos of your space.
I may also collect limited, mostly anonymous website usage information through cookies and analytics tools (see Section 5).
 

Data Storage & Security

I take reasonable steps to keep your information secure, whether it's stored on my devices, in secure cloud services, or in paper form. I have measures in place to protect it from loss, misuse, unauthorised access and improper disclosure.
When I no longer need your personal information, I will securely delete, destroy or de-identify it.
Who I share information with
I will not sell or disclose your personal information to anyone except as described in this policy. I may share limited information with trusted service providers who help me run RoomChange — for example, the platforms I use for email, online forms, scheduling and file storage — and only to the extent needed to deliver my services to you. Where required, I may also disclose information to comply with the law.
Overseas recipients
Some of the tools and platforms I use (such as email, form-building and cloud-storage services) may store data on servers located outside Australia. By using my services, you acknowledge that your information may be stored or accessed overseas. I take reasonable steps to use providers with responsible data-handling practices.
Keeping your information accurate
You can update or correct your personal information at any time by contacting me (see Section 4). If I believe any information I hold is inaccurate or out of date, I may take reasonable steps to correct it.

Accessing the information I hold about you
You can ask me what personal information I hold about you, and I'll respond within twenty-eight (28) days, in line with the Australian Privacy Principles. If it's going to take longer, I'll let you know why and ask for a little more time. In rare cases I may be unable to share certain information (for example, if it's legally restricted), and if so I'll explain why.
Please keep your details accurate and up to date — I can't be responsible for information that's provided incorrectly or out of date.
Making a complaint
If you're unhappy with how I've handled your personal information, please get in touch using the details above. I take all privacy concerns seriously and will aim to respond within five (5) working days to let you know how I'm addressing it. If I ever become aware of unauthorised access to your information, I'll let you know as soon as I reasonably can.
